Membership Officer/Website Manager (Australian Science Communicators)

 

Location:                     anywhere in Australia within reach of
Broadband

Remuneration:             $25 an hour for up to 32 hours a month (i.e.
average of one day a week)

Ever wondered how to manage a modern website for a national organisation? Or
perhaps you already know and have been waiting for an opportunity to put
your talents to good use? Here's your chance.

The website of Australian Science Communicators (ASC)-a network of more than
400 people working in science and technology communication across Australia
and overseas-is its window to the world. The membership officer is the first
contact many people have with the organisation.

 

Until now, these jobs have been separate, but ASC has been working on
upgrading its website so that the process of joining and maintaining
membership can be automated through it. Although this work has not yet been
completed, the positions of membership officer and website manager have now
both become vacant. (The current membership officer, Florienne Loder, and
website manager, Melanie McKenzie have resigned due to the pressure of other
work.)

 

The ASC Executive has decided that it makes sense to roll the two jobs into
one and to pay someone for an average of one day a week (eight hours) to
work on administration. This position would be ideal for someone in science
communication, who wishes to get involved with ASC, get to know and work
with people in the field and, at the same time, develop their computer
skills.

 
The ASC membership officer/website manager will be responsible for
maintaining the membership database, maintaining the website, responding to
queries, and liaising with ASC branch coordinators and national executive.
Tasks include:

 

1.      Updating and maintaining the website;

 

2.      Updating member details and entering new members into the online
database "Community Builder";

 

3.      Sending out regular notices (much of which should eventually become
automated through the website):

.         Tax receipts - to new and renewing members

.         Welcome letter - to welcome new members to the ASC and provide
them information how to get involved;

.         Renewal notice - to notify members that membership fees are due in
a month's time;

.         Reminder notice - to notify members that membership fees are due
(sent a month later);

.         Lapse is imminent - to notify members that their membership will
lapse in a month's time); and 

.         Lapsed notice - to notify members that their membership has lapsed

 

4.      Acting as contact point for ASC and forwarding matters to those
appropriate to deal with them;

 

5.      Responding to routine queries about ASC and its workings from
members and non-members alike; and

 

6.      Updating the branch coordinators on the membership numbers for their
state.

 

 

Skills required:

 

.         Computer literacy and capacity to come to terms with new software;

.         Good time management and organisation; and

.         Good communication skills; 

 

The National Executive wants to ensure that ASC's secretarial matters-of
which this job forms a large part-are handled as effectively as possible.
The organisation can now afford to offer the successful candidate up to 32
hours work a month (an average of eight hours a week) at $25 an hour to
ensure the job is done well. A file on how the membership system works at
